The VNA of NWI is seeking a Receptionist and Client Services Assistant

Position Summary

The Receptionist and Client Services Coordinator is the first point of contact and provides administrative office support in a team environment.  He or she is a role model for professionalism, customer service and compassion for those telephoning or visiting VNA offices.  Provides clerical support


  • Provides client intake services in a professional, caring, and compassionate manner to caregivers, Meals on Wheels recipients, and clients for other programs and services
  • Obtains accurate client demographic, financial and insurance information
  • Answers general questions about VNA services while communicating with caregivers and recipients
  • Enrolls clients in Lifeline emergency response system and assists with the enrollment of Meals on Wheels clients.
  • Assists in projects as requested by staff such as mailings, labeling and preparing presentations
  • Assists with data tracking and statistical reporting as needed
  • Receives and distributes incoming mail
  • Oversees the operation of office machines, including copy machine, printers mail meter, phone system and outgoing mail.
  • Provides clerical support for the Referral Team
  • Traina office volunteers when required
  • Performs such other duties as may be assigned from time to time


  • High school diploma or GED required, Associate Degree preferred
  • Minimum 1-year administrative support
  • Excellent phone skills and able to answer multi-line phone system
  • Strong communication skills (oral & written)
  • Proficient in the use of computer applications MS Word, Excel & Outlook
  • Must have experience and knowledge of database work
  • Excellent organizational skills and must be detail oriented
  • Bilingual in English and Spanish helpful but not required
